Badge Pick-up
Badges will not be mailed in advance. All pre-registered individuals must pick up their badge at the Badge Pickup Counters & present their QR code. A Photo ID (driver’s license, passport or government issued photo ID) will be required at the Badge Pick-Up counters.  You can pick up exhibitor badges on the second floor of the George R. Brown Convention Center.

Exhibitor FAQs Are Now Online

How do I get in touch with Show Management while at the show? Where do I unload my pickup truck? For those questions and many others, Show Management has compiled a list of frequently asked questions from exhibitors. This list will be updated as questions come in so please refer back to the Exhibitor Frequently Asked Questions page regularly and of course, you can always call Customer Service at 800-867-6060 if you need further help.

Exhibitor Rules and Regulations

Make sure you read the official Exhibitor Rules and Regulations before coming onsite. You will find the installation and dismantling schedule, clean floor policy, and other important information on building and operating your stand.

How Does Show Management Address Intellectual Property Issues?

As we get closer to show time, we wanted to communicate how Show Management deals with intellectual property issues. We will enforce a valid court order directed to the show that orders the removal or alteration of an exhibited product or display that the court has found violates another person’s patent, trademark or other intellectual property. If a court order is issued during the installation of the show, the piece of equipment will not be allowed to move in. If the court order is issued during the show, there are two options: Show Management will remove the piece of equipment prior to/after show hours on the day the court order is issued. If the piece of equipment cannot be removed, it will be draped off for the duration of the show or the resolution of the court order (which ever happens first).

Are you planning to play music in your exhibit during the show? Show Management has already purchased the applicable licenses for any performances or other uses of copyrighted works through the American Society of Composers, Authors and Publishers (ASCAP) that covers the entire show. Exhibitors will not be required to secure these types of licenses on their own.  

Installation and Dismantling Access

Exhibitors' staff or EACs can obtain Work Pass Buttons from security personnel onsite by showing credentials proving they work with a World of Asphalt or AGG1 exhibitor. These buttons will grant access to the show floor during install and dismantle only. Anyone trying to access the show floor during show hours must be registered ($50.00) and wear their badge at all times as stated in the World of Asphalt Registration Policies.

Post-Show Shipping Process

You can request Pre-Printed Outbound Material Handling Release/Labels in the Exhibitor Service Manual. The Shipping, Drayage, and Material Handling section has all the information and forms you need for post-show shipping.

Security Information

If the convention center needs to be evacuated, the following hotlines will provide a recorded message with information. The Show Office phone is 414-274-0660. Routine first aid may be administered onsite by one of the medical staff hired by Show Management. The first aid station is located outside of Exhibit Hall A. Lost items may be claimed or turned in at the Show Management Office located in 208. Lost children will be identified by their badges and taken to the Show Management office until a parent or guardian is located.

Housing is Closed

To make any adjustments to existing reservations, please contact Experient at woaexhibitor@experient-inc.com or 847-996-5829 or 800-424-5249 (Monday - Friday, 8:00 a.m. – 5:00 p.m. Central Time). If you need to make a last minute reservation, you can book through ARES. ARES will offer rates for all available hotel rooms in the downtown Houston area.

Need Meeting or Event Space?

World of Asphalt has a limited number of meeting rooms at the George R. Brown Convention Center for meetings, offices, storage, hospitality or entertainment. Requests for reserved space should be submitted via the meeting/function space reservation form.

Don’t Forget the Press Kits

Be sure to prepare press kits for media attending the shows. Media always ask about press kits when they arrive at the show newsroom, so be sure your company is represented. You can drop them off at Room 340A any time starting the afternoon prior to show opening. See details in News & Publicity Tips (Show Information section) of the Exhibitor Services Manual. Alert your marketing/communications team (in-house or agency) if you don’t handle this area.
